For example, to obtain a current case status may involve many steps and hours of staff time. To process a client's fees? It can take days. To access a case history? Don't ask.

Not so with CaseLode.

Our Time & Billing system allows you to see an up-to-the-minute status of a bill at any time, and you can see it in seconds with the touch of a key. All entries into Time & Billing are immediate, which means that batch posting and processing are eliminated. And any staff member with the appropriate security clearance can enter or review billing information from any workstation.

With CaseLode, the system is not only current but also live. That means time and charges are captured now rather than later. Better still, everything bookkeeping posts can be generated immediately in a document--plus all data in the system can be revised or changed.

COST TRACKING & RECOVERY

You make several long distance phone calls. A hundred photo copies. You mail some material...all on your client's behalf. Now the question becomes: how do you recoup these expenses?

Traditionally, recovering these costs required manual logs and transaction entries, involving hours and hours of accounting time for you or your staff. And, naturally, many of these costs seemed to slip through the cracks. Just disappear. They became, in a sense, out-of-pocket expenses for you.

CaseLode changes all that. Through intensive research and testing, we've developed the methods that allow our system to interface with the most common cost tracking devices. Telephones, copiers, postage meters, fax machine... the costs you incur on these machines for your clients can be processed directly into their files for billing.

Trust Accounting

For those firms who must maintain client Trust Accounts, the accuracy of that record keeping is of the utmost importance. All that one has to do is to read some of the Bar journals in order to see how seriously the State Bar Associations take this issue.

Our Trust Accounting System allows you to maintain an unlimited number of bank accounts and offers up to the minute reconciliation for each of those accounts. The entire system is "driven" from the entry of receipts and disbursements, and it tracks each of these transactions providing any type of reporting that your firm or the auditors may require. We offer any type of client master list, individual client account activity ledgers, subsidiary account ledgers (all activity within a given bank account), checks, check registers, payee reports, purpose code reports, etc., etc. If desired, you may also integrate your Trust Accounting System with our General Ledger System which will show the asset and liability accounts for the Trust funds you have custody of.

If you are also using our Time Accounting & Billing module, your clients are already there for you. Trust Accounting shares the common client/matter database with the Time Accounting & Billing System. Any information that you need is always at your fingertips. All information is maintained in the system until "you" decide to purge it out. This means that you can print or reprint detail activity from a year ago if you decide to retain it that long. In other words, you are in total control of all your records.

Accounts Payable

To maximize profits, you must keep a tight rein and a careful eye on the firm's cash flow. Tracking client costs advanced, then getting that money into the firm, is one of the most time-consuming, work-intensive tasks in your office. CaseLode is going to streamline that process for you.

Our Accounts Payable module gives you complete control over cash flow, while keeping check writing and record keeping efforts to a minimum. You can write checks on demand. You can quickly do a complete check reconciliation. You can tailor Accounts Payable to the specific needs of your firm, giving it exactly the features you require to monitor your cash flow.

Accounts Payable allows you to:

Effortlessly review the complete invoice history of a selected vendor. You will quickly know when the vendor was paid, from which account, even the check number.
Interface automatically with the Time & Billing and General Ledger. For example, costs posted in Accounts Payable can simultaneously be posted to the appropriate client account in Time & Billing and General Ledger, eliminating duplication of effort.
Write checks on demand or use a batch mode of check writing to pay vendors from a particular checking account.
Grant access to check writing only to those with the proper password.
Many reporting options are available, such as Vendor Listings, Transaction Entry Edit Reports, Report of Checks To Be Printed, Laser Checks in varying styles, General Ledger Distribution Reports, Time & Billing Distribution Reports (for client cost advances), Vendor 1099 forms and more.

General Ledger

A key to your firm's success is the ability to address financial analysis and cash disbursement activities in all your departments. To accomplish this used to require a mountain of paperwork and hours of labor. CaseLode is going to change all that.

The CaseLode General Ledger is designed to give you complete flexibility in the setup and structure of your General Ledger accounts from Time & Billing and Accounts Payable to the General Ledger. You can set up your account numbering schemes to match how you do business.

Simply, the software is so flexible, you do not have to redesign your office to fit our system.

General Ledger also allows you to monitor your account balances with on-line inquiry features. You can produce financial statements in several formats, including one that gives you prior year comparisons and budgets.

And like all the CaseLode modules, General Ledger is accessible only for authorized users with the proper security clearance.

Sound comprehensive? It is. But there are a couple of features that make General Ledger truly unique. Like the ability to interface automatically with Time & Billing, Accounts Payable and Payroll. Your entries into these modules are simultaneously logged for posting into General Ledger.

Payroll

Think about it! CaseLode operates on a very basic premise: the more our software does for you, the more it saves you time and money.

So we design each module to conserve your efforts. And with our Payroll system, you can see how we have taken over the tedious task of calculating and processing your firm's payroll and reports, reducing it to a few keystrokes.

The CaseLode Payroll system is comprehensive because it offers you a wide variety of features, and it has been designed specifically for today's law firms.

One of the outstanding features is the unique Time/Pay Input screen that immediately calculates all pay, voluntary deductions, tax withholdings and net pay. The benefit of this is immediate over-ride of any information and instant verification for complete accuracy.

All default information is retrieved, and the time entry is computed automatically. The system allows you to approve the individual's complete pay detail. If you approve what you see on the screen, you simply accept it; and it is done, instantly.

Payroll is flexible enough to handle any unusual pay situation that might occur. Let us say you want to give an employee a large bonus but prevent excessive tax deductions. Our Payroll system allows you to change the pay frequency, to reduce the amount of tax, or to calculate manually and enter the chosen tax deduction amounts.

You can easily generate, modify or delete check records for both salaried and hourly employees. And you can maintain and modify state and federal tax tables.

Naturally, the system retains a detailed record of every check written to every employee, not just summary totals. This detail may be recalled in inquiry or report form on demand.

Remote/Batch Time Entry - A module which allows the user to key time and expenses on any computer and then post it to the host computer at a future time.
Cost Recovery Interface - A module which allows the user to import charges for copies, telephone calls, facsimile charges and any other type of charge for which they can create an ASCII file to import to the host system.
Electronic Billing - Some of the formats currently supported include LEDES1998B, LEDES 2000, Liberty Mutual, Nationwide, Penn National, Reliance, Great American, Royal SunAlliance, Chubb, ITT Hartford, TyMetrix, Litigation Advisor and many others. Data Export Feature - Our base product includes a feature which allows the user to design customized data sets (any field(s) from any tables) and export that data (all or based upon a selection criteria) in many different output formats for use in other products. This powerful feature gives the user total access to their data.

Minimum Requirements:

  • All products require Windows 95, 98, NT, XP, 2000 or ME. Networks supported are Windows, Novell, NT and other networks that are Net Bios compatible.
  • All products are network ready, allowing simultaneous access.
    We recommend 128mb RAM per workstation as a minimum.
  • We also recommend that your workstations be of Pentium quality running at least 500 Mhz and contain a CD Rom. Additionally, monitors should be capable of displaying 600 x 800 resolution. We recommend a minimum size of 17” for monitors.
  • We recommend four gigabytes of disk space, but this can vary with the size of the firm and the length of time you desire to retain historical data.
  • We also recommend that you have a PC with a ZIP drive (100 or 250 megabytes) or a CD Writer.
  • We recommend a Windows compatible laser printer for both reports and checks.
